Clinical Expectations & Treatment
At Kai Chiropractic, we are committed to delivering thorough, evidence-informed care. To ensure the most appropriate and safe treatment for each patient, we follow a structured clinical process.
Your initial consultation is a comprehensive assessment appointment. Treatment is not guaranteed to be administered at your first visit. Following your initial assessment, your chiropractor will review your results and present a personalised care plan at a follow-up results appointment, at which point treatment may commence.
This approach allows us to fully understand your health history, perform relevant examinations (which may include postural analysis, orthopaedic testing, or referral for imaging), and determine the most appropriate and safe course of care for your individual needs.
Cancellation & Rescheduling Policy
We understand that circumstances can change, and we appreciate as much notice as possible when you are unable to attend your scheduled appointment. The following policy applies to all appointments at Kai Chiropractic:
Cancellations made on the day of your appointment will incur the full appointment fee. This applies regardless of the reason for cancellation.
Requests to reschedule made on the day of your appointment will also incur the full appointment fee, as your allocated time cannot be filled at short notice.
If you need to reschedule on the day of your appointment and we are able to accommodate you at another available time on the same day, no cancellation fee will be charged. This is subject to availability and is not guaranteed.
To reschedule or cancel your appointment, please contact us as early as possible by phone or via your confirmation email. Appointments booked through Cliniko (our online booking system) can also be managed directly through your booking confirmation link, subject to the terms above.
Treatment of Minors (Under 18)
Kai Chiropractic does treat patients under the age of 18. The health and safety of young patients is of the highest importance, and all care is adapted to be age-appropriate and clinically suitable.
A parent or legal guardian must provide written consent before any assessment or treatment can be administered to a patient under 18 years of age. A parent or guardian must also be present in the clinic during the appointment.
Health records for patients who were minors at the time of treatment are retained until the patient reaches the age of 25, or for a minimum of 7 years from the date of the last entry — whichever is the longer period — in accordance with Australian health records legislation.
All personal and health information relating to minor patients is held with the same strict confidentiality as adult records, and will not be shared without the explicit written consent of the parent or legal guardian, except where required by law.
Health Fund & Private Insurance
Kai Chiropractic supports patients who hold private health insurance with chiropractic extras cover. However, please be aware of the following:
Not all health funds can be claimed on-the-spot at our clinic via HICAPS or direct billing. If your fund is not supported at the time of your visit, full payment will be required at the time of service.
In these cases, we will issue you a detailed tax invoice — either at the time of your appointment or via email — which you can submit directly to your health fund to claim your rebate. Processing times for manual claims vary by insurer; please contact your health fund for further guidance.
We recommend contacting your health fund prior to your appointment to confirm your level of cover, any applicable waiting periods, and your preferred claiming method.

Kai Chiropractic is committed to protecting the privacy and confidentiality of your personal and health information. We comply with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and applicable state-based health records legislation.
